A simple guide to organizing your lab inventory data
Posted by nodeclub in General Discussion
Hey everyone. I see a lot of new researchers stressing out over how to keep track of their vial logs and reconstitution dates. When you have multiple compounds in the freezer it gets messy fast. I wanted to share a dead simple method I use that keeps my lab notebook clean and stress free.
All you need is a basic spreadsheet with columns for the compound name, the vendor batch number, date received, and storage location. When you reconstitute a vial just add a column for that specific date and note the volume of bacteriostatic water added. It takes two minutes per vial and saves you from guessing later.
Take it slow and get into the habit early. Future you will be super grateful when you are reviewing your notes and everything is right where it should be. Let me know if you want a template screenshot or have questions about how I set mine up.

Physical notebooks get ruined if a drop of liquid splashes on the desk digital is way safer.

I tried spreadsheets and abandoned them because updating formulas on mobile is a pain.

Spreadsheets are absolute overkill for a handful of vials just use a physical notebook.

Spot on user two digital backups have saved me more than once when my lab space got cluttered.

You do not need formulas just a simple text list works fine if you keep it updated daily.
